How the law protects you

Data protection laws state that we are only able to process personal data if we have valid reasons to do so. The basis for processing your personal data includes legitimate reasons for us to securely keep your personal data and only use the data for its intended purpose as described in this policy.

 

How do we collect personal data from you?

We do not collect your personal data by any automated processes. Your personal data is provided to us by you (or your representative) in person, upon becoming a member of Shree Baladia Leva Patel Sarvodal. It is updated only when you provide any updates to us. We also receive information that you provide when you use our website to contact us, or if you contact us by phone and email. Additionally we may also collect information from you that you provide when you sign up as a volunteer for the Sarvodal and/or for other volunteering that the Sarvodal is managing for other communities such as Shree Kutch Leva Patel Community, enter a competition, promotion or survey, for inclusion in the Baladia directory or when you inform us of any other matter.

 

What type of data do we collect from you?

The personal data that we may collect from you includes your name, address, email address, phone numbers, date of birth (optional).

 

How do we use your data?

We use information about you in the following ways:

·       To invite you to Sarvodal functions

·       To communicate with you information related to our community

·       To inform you of overdue membership fees (if applicable)

·       To keep track of your annual membership fees and payments

·       To notify you about changes to the Sarvodal

·       To help us identify you

·       To publish your data in the Baladia Directory (Date of Birth is never published)

Please note that the printed version (hard copy) of Baladia directory, which may contain your Name, Address, Phone numbers and Email, is distributed to all members. It is available to non-members to purchase and complimentary copies may be given to Baladia communities abroad.

 

Retention periods

We will keep your personal data for the duration of the period you are a member of Shree Baladia Leva Patel Sarvodal. If you decide to cancel your membership, we may keep your data for up to 7 years after you have cancelled your membership. We may not be able to delete your data before this time in order to maintain the historical data of membership fees paid by you. We assure you that your personal data shall only be used for the purposes stated herein.

 

Who has access to your personal data?

On a daily basis, only the data controllers have access to your data that is stored on an encrypted device and backed up onto an encrypted backup media.

During Sarvodal functions, additional members of the Sarvodal committee and Sarvodal volunteers will have access to your data as data processors for the purpose of updating the annual membership fees and to update any changes to your personal data that you provide. The number of data processors who volunteer to assist in this activity and have access to your data shall not be more than five. Wherever possible the majority of those data processors will be members of the Sarvodal Executive Committee.

 

Third Parties

We do not and never shall sell or give your personal data to third parties for marketing or advertising purposes.

We may pass your personal data to third parties if we are gathering volunteers for the third party and if you are participating as a volunteer for that third party event, such as Shree Kutch Leva Patel Community Mela.  

In order for your data to be printed in the Baladia directory, your personal information (Name, Address, Phone numbers and email only) will be provided to the third party company for the print production of the directory.

 

Your rights

You have the right to object to our use of your personal data, or ask us to delete or stop using it if there is no need for us to keep it. This is known as your right to be forgotten. Please do inform us if you think we are retaining or using your personal data incorrectly.

If you request the deletion of all your personal data while you are an existing member of the Sarvodal, it will be deemed that you wish to terminate your membership and you will be requested to provide written confirmation of your intent to cease your membership.

Our Privacy Notice shall be made available to you at the point of collection of your personal data.

You will have the choice how you wish to be contacted. By post, by email or both. You can make changes to your preferences at one of the Sarvodal functions by contacting the data controllers/processors.

 

Accessing and updating your data

You must maintain the accuracy of your information and ensure all your details; name, address, phone number, e-mail address are kept up to date at all times. You can view, edit or delete your personal data at one of the Sarvodal functions by contacting the data controllers/processors.

Where we store your personal data

Your personal data is stored on an Encrypted device. A backup copy is kept on an external Backup media that is also encrypted.
